This Privacy Notice explains how Fleet AI collects, uses, and discloses information in connection with the Fleet AI websites, applications, and services provided to business customers.

1. Scope; Audience; Relationship of Customer vs End Users

This Privacy Notice applies to information processed by Fleet AI in connection with our enterprise fleet intelligence services, including our websites, dashboards, driver tablet applications, APIs, and support operations (collectively, the "Services").

1.1 Audience

This Notice is intended for business customers, authorized users acting on behalf of those customers, and visitors to Fleet AI websites. It does not apply to third-party services that may be linked from or integrated with the Services.

1.2 Relationship of Customer vs End Users

For Customer Data, Fleet AI generally acts as a service provider or processor on behalf of the Customer. The Customer determines the purposes and means of processing, and Fleet AI processes Customer Data only as instructed by the Customer and as described in the applicable agreement or data processing addendum ("DPA"). End Users should direct privacy requests to their employer or organization.

1.3 Fleet AI as Controller for Website and Business Contact Data

For information collected from visitors to our websites and business contacts that is not Customer Data, Fleet AI acts as a controller and processes that information as described in this Notice.

2. Definitions

  • Customer means the business entity that enters into an Order Form or other agreement with Fleet AI.
  • Customer Data means information submitted to or processed by the Services on behalf of a Customer, including End User data.
  • End User means an individual authorized by a Customer to use the Services, such as fleet managers, drivers, or administrators.
  • Order Form means a document, order, or statement of work that references these Terms and specifies subscription details.
  • Personal Data means information that identifies, relates to, describes, or could reasonably be linked with an individual, as defined by applicable law.
  • Usage Data means information about how the Services are accessed and used, including log data and feature usage.
  • Subprocessor means a third party engaged by Fleet AI to process Customer Data on our behalf.

3. Categories of Data Collected

Depending on the Services used and Customer configuration, Fleet AI may collect the following categories of data:

3.1 Account and Contact Data

Organization name, account owner details, administrative contacts, user roles, and access permissions.

3.2 Usage and Log Data

Authentication events, audit logs, feature usage, configuration changes, and time stamps.

3.3 Telemetry and Diagnostics

Vehicle identifiers, device signals, diagnostics data, and operational telemetry provided through approved integrations or devices.

3.4 Device Identifiers

Device IDs, hardware identifiers, IP addresses, browser types, operating systems, and application version information.

3.5 Support and Communications

Support tickets, incident reports, attachments, recordings (if any), and correspondence with Fleet AI personnel.

3.6 Payment and Billing Metadata

Billing contacts, invoice details, payment status, and transaction metadata. Fleet AI does not store full payment card numbers.

3.7 Security and Audit Logs

Security logs, access histories, and system event data used to protect the Services.

3.8 Optional Integrations and Customer-Provided Data

Data provided through Customer integrations, uploads, or configurations, including mapping data, maintenance records, or compliance documents.

4. Sources of Data

4.1 From Customers and End Users

We receive data directly from Customers and End Users through account creation, configuration, API usage, and support interactions.

4.2 From Devices and Systems

We receive telemetry and diagnostics data from devices and systems connected to the Services, subject to Customer configuration and permissions.

4.3 From Third Parties

We may receive limited information from payment processors, identity providers, and other service providers used by the Customer. We do not purchase or broker Personal Data.

5. Purposes of Processing and Use

Fleet AI processes data for the following purposes:

  • Provide, operate, and maintain the Services, including onboarding, configuration, and access management.
  • Analyze fleet performance and deliver predictive maintenance and compliance insights.
  • Monitor, secure, and troubleshoot the Services, including fraud detection and incident response.
  • Respond to support requests, communicate about service updates, and provide training.
  • Improve and develop the Services, including model tuning and feature development, consistent with Customer instructions.
  • Send administrative and business communications, including notices, updates, and renewal discussions.
  • Comply with legal obligations and enforce our agreements.

6. Legal Bases for Processing (Where Required)

Where required by applicable law, Fleet AI relies on one or more of the following legal bases:

  • Contract to provide the Services under the applicable agreement and Order Form.
  • Legitimate Interests to secure, maintain, and improve the Services and conduct business operations.
  • Consent for certain optional features or cookies where required.
  • Legal Obligations to meet regulatory, compliance, or law enforcement requirements.

7. Sharing and Disclosure

7.1 Service Providers and Subprocessors

We engage service providers to support hosting, infrastructure, analytics, communications, and customer support. These providers are contractually required to protect data and use it only to provide services to Fleet AI.

7.2 Payment Processing

Payment information is processed by our payment processors. We receive limited billing metadata for accounting and reconciliation purposes.

7.3 Customer-Directed Sharing

We share Customer Data with authorized Customer administrators and as directed by the Customer through configurations or integrations.

7.4 Legal, Safety, and Compliance

We may disclose data to comply with law, respond to valid legal process, or protect the rights, safety, and security of Fleet AI, Customers, or others.

7.5 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, data may be transferred as part of the transaction, subject to applicable law and contractual protections.

7.6 With Consent

We may share data with third parties when a Customer or End User provides explicit consent or directs us to do so.

8. Data Retention

We retain data for as long as necessary to provide the Services, meet contractual obligations, resolve disputes, and comply with legal requirements. Retention periods vary based on:

  • Customer contracts and configuration settings.
  • The nature and sensitivity of the data.
  • Operational and security needs, including backup and audit requirements.

Upon termination, Customer Data is handled according to the applicable agreement and DPA, which may include deletion or return within a defined period, subject to legal retention obligations.

9. Security Measures

We implement administrative, technical, and physical safeguards designed to protect data. These measures include access controls, audit logging, encryption in transit where supported, monitoring, and incident response procedures. No system is completely secure, and we cannot guarantee absolute security.

10. International Transfers

Fleet AI is based in the United States, and data may be processed or stored in the United States or other jurisdictions where Fleet AI or its service providers operate. Where required, we use appropriate safeguards such as standard contractual clauses or equivalent mechanisms to support lawful transfers.

11. Cookies and Tracking Technologies

11.1 Website Cookies

Our websites use cookies and similar technologies for core functionality, security, and analytics. Where required, we will request consent for non-essential cookies. You can manage cookie settings in your browser.

11.2 Product Tracking

The Services use session identifiers and device information to authenticate users, maintain sessions, and secure the platform. Product telemetry is used to provide the Services and improve reliability.

12. Individual Rights and State Privacy Notices

Depending on your jurisdiction and the role of Fleet AI, you may have rights to access, correct, delete, or restrict Personal Data, or to receive a copy in a portable format. Fleet AI will respond to verified requests as required by law.

12.1 California Rights (CCPA and CPRA)

California residents may have the right to know, delete, correct, or opt out of the sale or sharing of Personal Data, and to limit the use of sensitive Personal Data, to the extent applicable. Fleet AI does not sell Personal Data and does not share Personal Data for cross-context behavioral advertising. We will honor authorized agent requests where permitted by law and subject to verification.

12.2 Other State Privacy Rights

Other state privacy laws may provide similar rights. We will process requests in accordance with applicable state laws and contractual obligations.

12.3 End Users

If you are an End User, please contact your employer or organization to submit a privacy request. Fleet AI will assist the Customer in responding to requests in accordance with the applicable agreement.

13. Notice for Minors

The Services are not directed to children under 13, and we do not knowingly collect Personal Data from children. If you believe a child has provided information to Fleet AI, please contact us so we can take appropriate action.

14. Updates to this Notice

We may update this Privacy Notice from time to time. We will post the updated version on this page and update the Last Updated date. If changes are material, we will provide additional notice as required by law or contract.
